Booking Conditions

Please read the following booking terms and conditions very carefully:

Passports and Visas


Each person must carry a passport with at least 6 months validity from the date of arrival into most countries. Passengers holding passports other than Australian should check with the Destinations consulate for their visa requirements prior to travel and are responsible for ensuring the status of their Australian visa/permits for re-entry into Australia.

It is the responsibility of all passengers to ensure their details have been provided correctly.

Visae are the responsibility of each traveller, we urge you to check with all relevant consulates and embassies prior to travel.

Australian passport holders do not require a Visa to enter Thailand or Singapore for up to 30 day stays.

Australian Passport holders do not require a Visa prior to arrival in Indonesia for stays up to 30 days. Visas are obtained upon arrival in Indonesia at a cost of US$10 per person for up to seven days and US$25 for over 7 days and up to 30 days.

Deposits and Payments

A non-refundable deposit of $300 per person is due within 7 days of confirmation to secure a booking. Final payments are due no later than 8 weeks prior to departure. Bookings made within 8 weeks of departure require full payment to be received within 48 hours of the booking being confirmed.

Credit Cards are gladly accepted for deposits and some payments.  An administration fee will apply to credit card payments on balances as follow; Visa/MasterCard 1.75% (inclusive of GST) Amex 3% (inclusive of GST). 

Prices quoted are subject to change at any given time prior to payment in full. Travel Hotspot reserves the right to cancel bookings where payments have not been received by the due date.

Credit Card Payments

Each person making paymnets must undertake to indemnify and reimburse Travel Hotspot for any credit card payments (either signed or authorized via telephone) for any amounts charged in the event that the transaction is rejected or reversed for whatever reason(s).

Cancellations / Amendments and Refunds

All deposits paid will not be refunded in the event of a cancellation. In addition to cancelation fees that airlines, hotels and tour operators may impose, Travel Hotspot reserves the right to retain $500 per person cancellation fes. These details will be advised to you in the event of a booking cancellation.

No refunds or amendments can be made once travel has begun. First amendments made prior to payment in full will be free of charge plus any supplier/airline/hotel charges. Any further amendments may incur a fee of $60.00 per change plus any supplier/airline/hotel charges. Amendments after documents have been issued may not be possible or may incur substantial fees, please contact us for information..

Flights and passenger details may not be changed once ticketed. Refunds for unused accommodation/tours or services may or may not be refunded by Travel Hotspot. Wholesalers, airlines, hotels and tour operators may impose their own fees in addition to those of Travel Hotspot.

Refunds from wholesalers, airlines, hotels and tour operators etc may take up to 12 weeks to be process, Travel Hotspot will do everything possible expedite your refund but will not refund to you until we have received from the supplier.

Travel Insurance

Travel Hotspot highly recommends travel insurance for all traveller’s. We recommend that this is paid at the time of paying your deposits. Travel Hotspot uses Sure Save, however passengers may choose to arrange their own if preferred. Traveller’s over the age of 75 years or those with pre-existing medical conditions must have a medical form completed by their doctor. Applications will be forwarded to Travellers Assistance for acceptance and an additional premium may need to be paid.

Itineraries and Accommodation

Travel Hotspot reserves the right to amend booking details if it is considered necessary due to changes in circumstances. Hotels may be substituted with those of an equivalent standard if a requested hotel is or becomes unavailable.

Compulsory dinners/inclusions may be added to the booking at any time.

Double rooms are only on request and will be provided when available, otherwise, twin bedding will be provided. Triple rooms may consist of a Twin or Double room with 1 rollaway bed. Children may be free of charge using existing bedding only. Some hotels may provide an extra bed/rollaway free of charge or there may be a surcharge. Hotel rooms are “run of house” unless otherwise stated. Particular room requests are never guaranteed. Please check with us at the time of booking.

Travel Htospot reserves the right to change, amend or cancel any or all of the passengers itineraries if deemed necessary.

Children's Ages

The age specifications for children will vary based on seasonality and hotel policies. Please check with our reservations staff at the time of booking.

Air Travel

Travel Hotspot contracts to most airlines. Prices and seasonality are subject to change until paid in full. Package fares are based on air and land packages with a stay of no longer than 35 days, or airlines specified maximum stay, and can not be extended or changed once ticketed.

Airlines allow up to 20kgs of luggage per person seated in economy class and 30 kgs for business class. Surfboards, bicycles and other large pieces of sporting equipment/baggage may incur extra charges and any additional charges will be incurred by the traveller.

International flights for most airlines are no longer required to be re-confirmed. You must ensure that the airline has your contact details overseas when you depart Australia. Passengers are advised to check in at least 2 hours prior to departure for international flights. Flight schedules are subject to change at any time.

Budget Airlines

Travel Hotspot is not responsible for time/schedule changes for budget airlines such as Tiger, AirAsia, Jetstar or Virgin. Please check the appropriate airline carriers website 24 hours prior to departure for any changes.

Hotel Descriptions in Brochures / Website

Descriptions featured are based on current international hotels guides and contractual agreements provided by the hotels and suppliers. Any facilities shown as included are subject to change at any time. Every effort is made to ensure the information provided is correct.

Maps and Photographs

Maps shown throughout this website are not drawn to scale and may not reflect actual routings, facilities, services or hotels. Hotel room photographs may not be the actual room that is to be occupied. Again, every effort is made to ensure that details provided are correct.

Responsibility

Travel Hotspot acts as an agent only and accepts no responsibility for services provided by the wholesaler, airline, hotel or tour operator or any other service provider. By making a booking and/or acceptance of vouchers and documents, the passenger agrees that Travel Hotspot is in no way responsible or liable for loss, injury, damage to person, property or otherwise in connection with any and all transportation, accommodation and/or services resulting directly or indirectly from Acts of God, dangers incident to air, sea, fire, breakdown in machinery or equipment, acts of governments or other authorities de jure or de facto, wars – whether declared or not,acts of terrorism, hostilities, civil disturbances, strikes, riots, thefts, epidemics, medical or customs regulations, delays or changes in itinerary/schedules for any loss or damage resulting from improper or insufficient passports, visas or other documents or from any other causes beyond the control of Travel Hotspot.

When making a booking with Travel Hotspot it is deemed that you have read, understood and accepted the conditions as set out herein. Travel Hotspot makes no representation as to the safety, conditions or other issues that may exist at any destination. International travel advice can be obtained from various sources, including local government, local consular offices and the Australian Department of Foreign Affairs and Trade. Please check the dfat website at www.dfat.gov.au or www.smartraveller.gov.au for further information on destinations safety issues.

Late Bookings

Any late bookings may incur a fee of up to $100. This fee is charged at the discretion of Travel Hotspot.

Consumer Claims

Any claims should be lodged in writing to Travel Hotspot with supporting documentation within 14 days of return to Australia.

Additional Conditions

The prices quoted by Travel Hotspot are subject to change without notice in the event of unforeseen circumstances such as fluctuation in exchange rates, increases in land, cruise, airfare and wholesaler costs. Itineraries are subject to alteration if airlines schedules are amended or other conditions require it. These bookings conditions apply for online bookings, additional conditions and fees may apply for bookings made through our Perth office.
